Practice Privacy Statement
The purpose of this privacy policy statement is to explain how your data is used when contacting me by phone or email. It contains information on data that would be collected about you if you were to book an appointment and undertake sessions with me and also explains any limitations to confidentiality.
What information I collect
When you contact me, I may collect basic personal information such as your name, email address, phone number, and a brief message. If you begin therapy with me, I may also collect relevant personal or health related information that helps support our work together. I may also make my own brief notes as a reminder of what we have discussed in our sessions. The personal information I hold comes from the initial client information sheet I ask you to complete at our assessment, or may come from a school, college, GP or other service if they are referring you.
How is information used
Your information is used to respond to your enquiry, arrange sessions, and provide safe, ethical therapeutic support. I will never share your information with third parties such as making a referral to another service on your behalf or needing to liaise with medical staff or carers regarding your treatment unless you give explicit written consent. I will never share your information with other third parties unless:
- I am legally required to do so by a court of law
- If I have a serious concern of risk of serious harm to yourself or others or safeguarding concerns
- I am legally obligated to report any disclosures related to terrorism, drug trafficking or money laundering
- When I am regularly consulting with my clinical supervisor as part of my professional adherence to the ethical framework. These discussions are to help ensure I’m offering you the best possible support. My supervisor is bound by strict ethical and confidentiality standards.
I collect this information to enable me to provide you with professional counselling services and to plan and review your treatment.
Legitimate interests of data processing
The law allows me to collect and store information so I can provide you with services. I do not need your explicit consent as I have a legitimate business justification for holding this data. If the client is a minor then a parent or guardian has rights over the data until such a time as they are deemed competent to exercise and understand their rights.
How your information is stored
Any personal information is stored securely, either in a password-protected digital files or locked storage. I take all reasonable steps to ensure your data is kept safe and confidential.
Your rights
You have the right to:
- Access the information, or a copy of, the information I hold about you
- Request corrections to inaccurate information
- Withdraw your consent for the processing of your data at any time, with the same exception applying to legally required records such as clinical notes.
- Request that your personal data be transferred to another data controller (data portability), should you wish to move your information elsewhere.

Right to erasure
Your right have your data removed from my records (‘right to erasure’ or ‘right to be forgotten’) is waived, since this data may be required to defend any legal claim against me under the terms of my professional indemnity insurance.
How long do I keep your information
In line with professional and legal guidelines, I retain client records securely for a minimum of 7 years after our work ends (or until a young person reaches age 25). However, I may be required to legally retain them for longer to meet the terms of my professional indemnity insurance. After the period required to legally retain them has expired, they are safely destroyed.
